"BEATUS" Ltd. HOTEL CESIS is a private hospitality company that, in providing its direct services, needs to collect and store the privacy data of our guests. In order to ensure the protection of customer personal data, the right to the lawfulness of the processing of personal data is respected in accordance with the applicable legislation, the laws of the Republic of Latvia and the subordinate legislation, Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016, regarding the legality of the processing of personal data. We are committed to protecting your personal information and maintaining the confidentiality of everything we do.

Scope of application of documents

Personal data is any information about an identified or identifiable natural person - a HOTEL CESIS customer, partner or employee, job candidate: name, surname, personal identification number, residential address, personal phone number, personal email, occupation or income, services received and planned, billing information, and other information relating to an individual.

The privacy policy applies to the protection of privacy and personal data regarding:

  • natural persons - clients, guests and other service users (including potential, existing and former), as well as third parties, who receive or transfer HOTEL CESIS information in connection with the provision of services to a natural person (client, user);
  • HOTEL CESIS visitors, including those subject to video surveillance;
  • visitors of the maintained websites, potential clients.
Privacy policy applies to the processing of data, irrespective of the form or medium in which the client submits personal data (whether on a website, electronically or in paper form) and in which corporate systems or paper form they are processed.

Purposes of personal data processing

HOTEL CESIS processes personal data for the following purposes:
  • For the provision of services:
    • identification of customers; conclusion of contracts; provision of services, development of new services; 
    • advertising and distribution of services; 
    • customer service; retention, loyalty, claims; 
    • the administration of accounts, the recovery of debts; 
    • the maintenance and development of homepages.
  • Business planning and analytics (statistics, analysis, performance measurement, market research, reporting, customer surveys)
  • Provision of information to public authorities and representatives of emergency operations in the cases specified in external regulatory enactments.
  • The security of HOTEL CESIS property and persons within the framework of video surveillance to protect the property of HOTEL CĒSIS and third parties, to prevent possible offenses, to record the fact of committing an offense and to monitor the progress and quality of guest service. Video surveillance data is stored for up to 14 days. After this time, the data is automatically deleted. Where data have previously been requested in writing from the competent public or local authorities, or irregularities have been detected, the data shall be stored as necessary.
  • For other specific purposes that the Customer is informed about when he provides the relevant data to HOTEL CESIS.

Legal basis for the processing of personal data

HOTEL CESIS processes the client's personal data on the following legal grounds:
  • For the enforcement of regulatory enactments - in order to fulfill the obligation specified in the external regulatory enactments of HOTEL CESIS (BEATUS Ltd.);
  • In accordance with the consent of the Customer-data subject;
  • For entering into and executing contracts, to enter into a contract at the request of the Customer and to ensure enforcement;
  • Legitimate interests - to realize the legitimate interests of the association, HOTEL CESIS and the customer, or the contractual agreement concluded, or the legitimate interests of HOTEL CESIS.

HOTEL CESIS has a legitimate interest in: conducting business; to verify the Customer's identity before entering into the contract; ensure fulfillment of contractual obligations; prevent unjustified financial risks to their commercial activities; save Customer's applications for service provision, other submissions, notes thereon, incl. made orally, by telephone, on the website; analyze the website of HOTEL CESIS, operational efficiency, implement improvements; to carry out actions for retaining Customers; segment the customer database; design and develop services; promote your services by sending commercial communications; to prevent fraud; ensure effective business management processes; administer payments and outstanding payments; apply to public administration and investigative authorities for the protection of their legal interests.

Protection of personal data

HOTEL CESIS shall ensure, continuously review and, where necessary, improve protection measures to ensure that personal data are provided against unauthorised access, accidental loss, disclosure or destruction. Today's technology, technical and organisational activities, including firewalls, antivirus programs, are used to do this.

Categories of personal data

Personal information: name, surname, personal code or date of birth, nationality. 
Contact details: address, telephone number. 
Payment information in the case of non-cash payment (payment card number and expiry date). This data is indispensable for providing the basic service. Other information to provide hotel services, such as a car registration number when parking services are used.

By using the services of HOTEL CESIS, the client confirms that the personal data provided is correct and he / she has reached the age of 18. 

Video surveillance - biometrics (facial image), the legitimate interest of the employees of HOTEL CESIS and the protection of the client's vital interests, including protection of health and life.

Cookies: small text files created and stored on the Client's device by visiting the HOTEL CESIS website. Cookies remember the Customer's basic information and thus improve the ease of use of a particular site. By using cookies, we process website usage history data, diagnose problems and flaws in site operation, collect user behavior statistics, and ensure full and easy use of the site's functionality. If the Customer does not wish to allow the use of cookies, it may be terminated by deleting the stored cookie history using the settings section of their Internet browser.

Sources of personal data acquisition

The customer in question in person, in writing or by telephone. 
Collaboration partners, if the Client orders the HOTEL CESIS service using the services of HOTEL CESIS cooperation partners (booking.com, travel agencies, operators).

Receipt and processing of personal data

Client's personal data is used for the intended purposes of data processing. For the purpose of data processing, the data will be transferred to HOTEL CESIS employees and service providers servicing HOTEL CESIS and involved in the conclusion of a contract or obligation if it is necessary to contact the Client through service nuances, accountants, as well as other persons involved in the processing of the data. In cases provided by law, Customer's personal data may be transferred to state or municipal authorities or to a court.

Duration of storage of personal data

The duration of storage of client data depends on the purpose of processing the data and on the legal basis, as long as at least one of the following criteria exists:
  • for the duration of the contract with the customer;
  • as long as there is a legal obligation for either party to retain the data;
  • as long as the Client's consent to the relevant processing of personal data is in force, unless there is another legitimate basis for the processing.
The guest form is kept for one year upon check-in. When applying for a booking via email, the correspondence is kept for a maximum of two years. When you book a service on a website, the request for guest reception arrives via email and this correspondence is stored for a maximum of two years.

Rights of the customer, data provider

According to the Regulation, the Customer has the right to:
  • request the correction or deletion of their data in certain cases;
  • request the restriction of data processing in certain cases;
  • object to the processing of their data in certain cases
Client may perform these actions at any time by sending a written application to the HOTEL CESIS. Exception if data is provided on a contractual or statutory basis.

Other rules

HOTEL CESIS website may contain links to third party websites that have their own terms of use and personal data protection, for which HOTEL CESIS is not responsible. HOTEL CESIS has the right to make additions to the privacy policy by making it available to the Client on the HOTEL CESIS website.
